The Retail Operations Specialist will support the Singapore retail network as part of the Asia Sales Operations team. This role is responsible for ensuring high operational standards across all Singapore stores by partnering closely with the Singapore Divisional Sales Manager (DSM) and reporting to the Sales Operations Manager, Asia. The role acts as a key bridge between stores, local market leadership, Asia, and global functions to ensure consistent execution of retail standards, efficient operations, and strong store support.

Responsible for supporting Pandora's stores across Asia through the full lifecycle of lease renewals and new lease agreements, ensuring all contract deadlines and administrative requirements are met accurately and on time.

Key Responsibilities
- Retail Operations Excellence & Store Support
- Serve as the key operational contact point for Singapore stores, supporting day-to-day store needs and troubleshooting operational issues
- Partner closely with the Singapore Divisional Sales Manager to ensure smooth store operations and execution of retail priorities
- Work with the Divisional Sales Manager to plan and execute retail operations initiatives, projects, and process improvements across the Singapore store network
- Coordinate and support store audits, follow-ups, and implementation of operational improvements
- Own and manage store communication by disseminating key updates, guidelines, and operational information to store teams via the Pandora Connect app, ensuring timely and consistent messaging across the Singapore network
- Store Operations & Process Management
- Support implementation of retail operational standards, policies, and processes aligned with Pandora guidelines
- Cascade relevant updates, guidelines, and best practices from Asia and global retail operations subject matter experts to the Singapore store network
- Work closely with regional and global stakeholders to ensure alignment and localization of retail processes and initiatives for Singapore
- Drive rollout of new initiatives, processes, and systems across Singapore stores
- Support store compliance to local regulations, company policies, and operational standards
- Maintain and update operational guidelines and ensure clear communication to stores
- New Store Openings, Refurbishments & Projects
- Support planning and execution of new store openings, refurbishments, and relocations
- Coordinate with cross-functional teams (VM, IT, Finance, Marketing and external vendors) for store setup
- Ensure store readiness from an operational perspective (systems, supplies, compliance)
- Vendor & Maintenance Management
- Manage store maintenance across the Singapore network, ensuring timely resolution of issues
- Act as the key contact for store vendors (cleaning, security, cash collection, maintenance, etc)
- Ensure proper tracking and validation of quotations, invoices and service delivery
- Retail Systems, Tools & Services
- Support retail systems and digital tools used in stores, ensuring smooth functionality and adoption
- Assist stores in resolving system-related issues and escalate where needed
- Support implementation of new tools and system enhancements
- Lead the rollout and ongoing management of retail services such as engraving in Singapore, including store readiness, process implementation, staff guidance, and coordination with relevant stakeholders
- Reporting & Administration
- Compile weekly and monthly operational reports for Singapore stores
- Manage operational administrative tasks including:
- Store supplies ordering
- Petty cash claims
- License application and renewal
- Support tracking of key operational activities and store support initiatives
- Cross-functional Collaboration
- Act as a liaison between stores, Singapore commercial team, and Asia/global functions
- Work closely with Sales Operations subject matter experts across Asia and global teams to align on standards, tools, and initiatives
- Participate in regional and global retail operations projects, ensuring effective localization and execution in Singapore
What Are We Looking For
- Bachelor's degree or equivalent experience
- 1 – 3 years of experience in retail operations or store support roles
- Strong understanding of retail store operations, processes, and standards
- Experience supporting multi-store environments preferred
- Strong organizational and problem-solving skills
- Ability to manage multiple priorities in a fast-paced retail environment
- Excellent stakeholder management and communication skills
- Hands-on, detail-oriented, and proactive approach
- Strong proficiency in MS Office (Excel, PowerPoint)
- Ability to work both independently and collaboratively in a dynamic environment
