The Retail Operations Executive supports the smooth day-to-day running of retail stores. This role provides administrative and operational assistance to ensure all stores operate efficiently, meet company standards, and deliver excellent customer experiences. The position involves close coordination with store teams, warehouse, and other departments to support retail initiatives and ensure timely execution of store operations.
RESPONSIBILITIES
1. Duty Roster & Manpower Control
Review and verify duty rosters prepared by outlets to ensure adherence to company guidelines and manpower allocation standards.
Ensure stores maintain adequate staffing levels to support operational efficiency and customer service.
Monitor attendance, punctuality, and scheduling compliance across all outlets.
2. Daily Operations Control
Assist in daily retail operations and ensure all stores follow standard operating procedures.
Conduct checks on store morning and closing checklists to ensure operational readiness and housekeeping standards.
Oversee CCTV monitoring for outlets during opening, peak hours, maintenance periods, and closing to ensure safety and compliance.
Ensure operational efficiency, discipline, and customer service excellence are upheld at all times.
3. Data Integrity & SOP Control
Conduct daily checks on store transactions to identify negative stock balances and take corrective actions.
Verify outstanding postings, stock accuracy, and receiving discrepancies in the system.
Perform random spot checks to assess staff understanding and compliance with Standard Operating Procedures (SOPs).
Work closely with internal departments to address SOP implementation issues and process improvement opportunities.
Support stock count preparation and assist in variance checking and reporting.
4. Support for Non-Trade Requisition
Assist retail outlets with requisition and replenishment of non-trade items such as packaging materials, stationery, or operational tools.
Ensure timely approval, ordering, and delivery to support uninterrupted store operations.
Maintain proper documentation for requisition tracking and cost control.
5. Outlet Support & Issue Resolution
Act as a point of contact for store teams to address operational issues, complaints, or emergencies.
Liaise with relevant departments (HR, Admin, IT, Logistics, etc.) to provide timely solutions.
Conduct follow-up checks to ensure outlet concerns are properly resolved.
Support preparation for new store openings, relocations, and closures.
Follow up on store maintenance issues and ensure timely resolution.
6. Other Administrative & Operational Duties
Provide operational support during store audits, events, and promotional campaigns.
Prepare and maintain operation-related reports, documentation, and performance summaries.
Coordinate communication between store teams and HQ departments. Undertake any other assignments or special projects as directed by the immediate superior or management from time to time.
Experience and Skills:
-Minimum Diploma in Business Administration, Retail Management, or a related field.
-At least 2 years of experience in retail operations or supervisory roles (sports or lifestyle retail experience preferred).
-Strong knowledge of retail processes, SOP enforcement, and stock management systems.
-Proficient in Microsoft Excel and other MS Office applications.
-Excellent communication, analytical, and problem-solving skills.
-Detail-oriented, proactive, and able to multitask in a fast-paced environment.
Strong sense of responsibility, integrity, and teamwork.
Willing to travel between outlets and work on weekends or public holidays when required.
