Job Summary
You will conduct inspections, manage service providers, handle customer inquiries, and coordinate council meetings to ensure smooth property management operations and high client satisfaction.
Responsibilities
- Conduct routine inspections of building services, equipment, and facilities to ensure operational integrity
- Verify that service providers meet contract specifications and address any performance issues
- Respond promptly to emergency service breakdowns to minimize disruption
- Address customer concerns and inquiries related to moving, renovation, and payment processes with a focus on client satisfaction
- Handle internal and external stakeholder calls calmly and professionally, maintaining a positive work ethic
- Develop and apply effective strategies to manage difficult situations and resolve customer complaints
- Monitor daily service requests from subsidiary proprietors and ensure timely follow-up by the Condominium Manager
- Process renovation and moving application forms, verifying submission completeness with required supporting documents such as tenancy agreements and professional endorsements
- Check and verify Section 47 Certificates prepared by Account Executives for accuracy
- Ensure all contracts, insurance policies, certificates, and licenses are renewed before expiry to maintain compliance
- Coordinate and attend Council Meetings and Annual General Meetings, preparing notices, agendas, documents, and recording minutes accurately
- Manage and maintain organized records and files of all correspondences and documents related to property management
Preferred competencies and qualifications
- Diploma in Property Facility Management preferred
- Proficiency in Microsoft Office and Excel
- Knowledge of smart estate applications and digital payment platforms preferred
- Strong leadership and interpersonal skills with a positive work attitude
- Ability to work independently without prior experience
