Job Description

Job Title: Dental Receptionist / Front Desk Coordinator

Location: [East Side]

Reports to: Manager

Employment Type: Full-time

Job Summary

We are seeking a friendly, organized, and detail-oriented Dental Receptionist to serve as the first point of contact for our patients. You will manage front-desk operations, schedule appointments, handle CHAS etc verifications, process payments, and ensure a welcoming, efficient patient experience. This role is critical to maintaining smooth clinic workflow and excellent patient satisfaction.

Key Responsibilities

Patient Relations & Front Desk

. Greet patients and visitors warmly, check them in/out, and assist with paperwork.

. Answer incoming calls, respond to inquiries, and direct calls to clinical staff as needed.

. Manage patient communication via phone, email, or text (appointment reminders, follow-ups).

Appointment Scheduling & Coordination

. Schedule, reschedule, and confirm patient appointments efficiently, considering treatment times and provider availability.

. Coordinate with hygienists and dentists to optimize daily schedule flow.

. Manage cancellations and last-minute openings to minimize downtime.

Patient's Benefits & Billing Support

. Verify patient insurance / card eligibility and benefits prior to appointments.

. Collect co-pays, deductibles, and outstanding balances process payments (cash, credit, financing plans).

. Assist with basic insurance claim submissions and patient billing inquiries.

Record Management & Compliance

. Maintain accurate electronic health records (EHR) and update patient demographics.

. Ensure compliance with clinic privacy policies.

. Prepare patient charts and necessary forms for upcoming visits.

Clinic Support

. Keep reception area clean, organized, and stocked with forms/brochures.

. Assist with light administrative tasks (faxing, scanning, ordering office supplies).

. Support clinical team by notifying them of patient arrivals and special requests.

Requirements

Education & Experience

. High school diploma or lower required.

. 1+ years of receptionist or front desk experience, ideally in a dental or medical office.

. Familiarity with dental practice management software is strongly preferred.

Skills & Competencies

. Excellent verbal and written communication professional and compassionate phone etiquette.

. Strong organizational skills with ability to multitask in a fast-paced environment.

. Basic understanding of dental terminology, procedures, and insurance plans (preferred).

. Proficiency in Microsoft and general office equipment.

. High attention to detail for accurate data entry and financial transactions.
