Job Description

Join Our Team - Receptionist cum Admin Officer

We are looking for a proactive and organised Receptionist cum Admin Officer to support the daily operations of our new office at Tuas area. If you enjoy coordinating office activities, handling administrative matters independently, and creating a welcoming environment, we would love to hear from you.

Key Responsibilities

Front Desk & Reception

  • Be the first point of contact for visitors, clients, and employees

  • Handle incoming calls, emails, couriers, and deliveries professionally

  • Maintain visitor records and coordinate site access arrangements

  • Ensure reception and office areas are neat, organised, and presentable

Administration & Office Operations

  • Oversee day-to-day administrative operations of the shipyard office independently

  • Manage meeting room bookings, appointments, and office schedules

  • Handle documentation, filing, data entry, and document transmittals

  • Monitor office supplies and coordinate replenishment with vendors

  • Liaise with vendors and service providers for office maintenance and repairs

  • Support HR administrative functions, onboarding coordination, and employee enquiries

  • Coordinate staff birthdays, internal communications, and simple celebrations

  • Issue company items such as PPE, uniforms, stationery, and jackets while maintaining proper records

  • Coordinate transport arrangements with the Logistics team when required

  • Supervise cleaning schedules and ensure office cleanliness standards are maintained

  • Ensure compliance with company policies, safety procedures, and office protocols

  • Provide administrative support to management and assist with ad hoc operational duties

Requirements

  • Diploma or Degree in Business Administration or related field

  • Minimum 2 years of relevant experience, preferably in a shipyard, site office, or industrial environment

  • Proficient in Microsoft Office and Outlook

  • Strong organisational and multitasking skills

  • Able to work independently with minimal supervision

  • Responsible, meticulous, and proactive with good initiative

  • Good interpersonal and communication skills with a customer-service mindset

Working Hours

  • Monday to Friday: 8:00 AM - 5:00 PM

  • Alternate Saturday: 8:00 AM - 12:00 PM

  • Free transportation provided from Jurong East MRT
