Job Summary
You will manage reception duties and provide professional customer service in a school office, handle student-related administrative tasks, maintain records, assist with events, and support school leaders and staff with various office and secretarial functions.
Responsibilities
- Manage the reception counter by answering and directing phone calls and attending to walk-in enquiries from students, visitors, and suppliers to provide accurate information and services
- Maintain and update filing systems and inventory records to ensure accurate documentation
- Manage lost and found items and coordinate delivery of goods efficiently
- Maintain sickbay records and provide basic first aid to injured students, including managing early dismissal due to medical reasons
- Coordinate student-related matters such as Student and Class Photos, NRIC applications, School Health and Dental Checks, QSE surveys, and other student events
- Pack pamphlets, leaflets, and souvenirs for staff and students and assist teachers in charge with related tasks
- Contact teachers in charge upon arrival of their goods and provide assistance as needed
- Perform secretarial duties including arranging appointments, organizing meetings, and contacting students and parents regarding fee arrears
- Maintain cleanliness and orderliness of School Leaders Rooms and Pantry in the General Office
- Perform other administrative duties as assigned by School Leaders and the Admin Manager
- Use computer applications, including Microsoft Office and school e-applications, to manage student attendance and early release records
- Work collaboratively with team members and independently with a positive attitude
Preferred competencies and qualifications
- Secondary School Education
- Ability to converse and speak English well
- Preferably three (3) years of experience as a Receptionist with administrative experience in a school environment
- General computer skills, including proficiency in Microsoft Office applications
- Ability to work with school-specific e-applications for student management
Other Information
- Working hours:
- Mondays to Thursdays: 6:30am to 4:00pm (inclusive of 1-hour lunch break)
- Fridays: 6:30am to 3:30pm (inclusive of 1-hour lunch break)
- No service required on Saturdays, Sundays, and gazetted public holidays
- Other deployment hours may be arranged subject to service needs and mutual agreement between School and Employee
