Job Description
We are seeking a proactive Receptionist / Admin Assistant with 1-3 years of local administrative experience to support front-desk operations, administrative functions, and basic marketing tasks such as poster design and website updates.
Key Responsibilities
Front Desk Operations
- Manage reception duties: greeting visitors, visitor registration, and handling enquiries
- Answer and route incoming calls, manage emails, and handle courier/mail services
- Coordinate meeting room bookings, visitor access and office schedules
- Liaise with building management for access, maintenance and general facility matters
Administrative Support
- Office supplies procurement and inventory management
- Document filing, scanning, record maintenance
- Support HR with interview scheduling, onboarding documentation
- Assist with invoices, expense claims and office paperwork
- Support company meetings, internal events and administrative coordination
Basic Marketing & Digital Tasks
- Design simple posters / internal communication graphics (training posters, birthday visuals, company announcements, event notices)
- Update and maintain the company's website (e.g., text updates, uploading content, maintaining basic layout)
- Support in simple social media or digital content tasks when required
Requirements
- 1-3 years of administrative or front-desk experience in Singapore (required)
- Bilingual in English and Mandarin to liaise with Mandarin-speaking partners
- Singaporean/PR preferred
- Good communication and interpersonal skills, professional appearance
- Proficient in Microsoft Office and/or Google Workspace
- Basic design skills (Canva/Photoshop/PowerPoint) preferred
- Familiarity with simple website maintenance (WordPress/Wix/Squarespace or similar) an advantage
- Detailed-oriented, organised and able to work independently
- Experience in a startup or corporate office environment is a plus
