Position Overview
The Receiving & Store Executive is responsible for managing the receipt of all goods for the hotel - including both perishable and non‑perishable items - across all user departments. This role ensures effective coordination of administrative matters within the department and with other stakeholders related to receiving activities. A critical responsibility is to guarantee that all goods are received in strict compliance with HACCP guidelines and in alignment with hotel policies and procedures.
The Receiving & Store Executive oversees inventory management, ensuring that store items are replenished promptly according to par stock requirements, thereby maintaining smooth operations and uninterrupted supply for all departments.
The Role
Receiving & Store Activities
- Receive, unload, and inspect deliveries (perishable and non‑perishable).
- Verify items against purchase orders and delivery notes (quantity, quality, expiry dates, damages)
- Post delivery orders and invoices to system daily
- Obtain products/goods at competitive prices without compromise the desired quality standard
- Ensure all goods are handled according to HACCP and hotel hygiene policies.
- Monitor temperatures and storage conditions for perishable item
- Record received items in the inventory system accurately.
- Report discrepancies, shortages, or non‑conforming items.
- Implement FIFO (First‑In, First‑Out) practices to minimize waste
- Monitor stock levels and replenish items promptly according to par stock requirements
- Coordinate with procurement and user departments to ensure uninterrupted supply
- Assist in inventory count and month end closing
Talent Profile
- Understanding of Purchasing/Receiving/Store principles and processes
- Experience with Purchasing/Receiving systems
- Ability to track incoming goods, verify against purchase orders, and maintain accurate stock records.
- Knowledge of FIFO/FEFO practices to minimize waste
- Proficiency in systems like CheckSCM or Microsoft Excel for recording receipts, invoices, and discrepancies.
- Inspect goods for damages, expiry dates, and compliance with HACCP standards
- Report discrepancies promptly to procurement or suppliers
