Job Scope - Quantity Surveyor / Admin
The Quantity Surveyor / Admin is responsible for managing project costing, quantity take-off, tender preparation, contract administration, Variation Orders (VO), claims, procurement support, and general administrative duties to ensure smooth project and office operations.
Key Responsibilities
1. Quantity Surveying & Cost Management
- Prepare quantity take-off based on drawings, specifications, and tender documents.
- Estimate project costs, material quantities, labour costs, and overall budget requirements.
- Assist in cost planning, budgeting, and project cost control.
- Monitor project expenditures against budget and highlight cost variances.
2. Tender & Quotation Preparation
- Review tender documents, drawings, and contract requirements.
- Prepare tender costing, bill of quantities (BQ), and quotation submissions.
- Source and obtain quotations from suppliers and subcontractors.
- Compare quotations and recommend cost-effective options.
3. Variation Orders (VO) & Claims
- Prepare, evaluate, and submit Variation Orders (VO) for additional works, omissions, and design changes.
- Measure and verify additional works done on site.
- Prepare supporting documents, cost breakdowns, and justifications for VO claims.
- Track VO status and ensure timely approvals.
4. Progress Claims & Payment Certification
- Prepare monthly progress claims and invoices for submission to clients.
- Evaluate subcontractor claims and payment requests.
- Verify work completed on site before claim certification.
- Monitor payment status and follow up on outstanding payments.
5. Procurement & Contract Administration
- Assist in procurement of materials and subcontractor services.
- Prepare purchase orders, work orders, and subcontract agreements.
- Maintain records of contracts, quotations, and procurement documents.
- Ensure proper documentation for project cost and contractual matters.
6. Documentation & Reporting
- Maintain project records including contracts, drawings, VO, claims, invoices, and correspondence.
- Prepare cost reports, claim reports, and management updates.
- Ensure all project-related documents are properly filed and updated.
7. Administrative Duties
- Handle day-to-day office administrative functions and coordination.
- Manage incoming correspondence, emails, and project documentation.
- Coordinate meetings and maintain records of communications.
- Support management and project team with administrative tasks as required.
Requirements
- Diploma or Degree in Quantity Surveying, Building, Construction Management, or related field.
- Relevant experience in construction QS and administrative functions.
- Good understanding of tendering, cost control, VO, and contract administration.
- Proficient in Microsoft Office, Excel, and quantity take-off tools.
- Strong numerical, analytical, organizational, and communication skills.
