Job Summary
We are seeking a motivated and detail-oriented individual to join our QA/QC team as a Quality Document Controller. This role is responsible for managing the full document control lifecycle, ensuring all quality-related documents are properly tracked, maintained, distributed, and archived in accordance with project and company standards.
The ideal candidate should be highly organized, able to work under deadlines, and comfortable working in a dynamic project environment.
Key Responsibilities
- Manage the full document control cycle, including collection, numbering, logging, tracking, distribution, and archiving of quality documents (e.g., procedures, RFIs, ITPs, quality reports) in both electronic and hard copy formats.
- Coordinate with subcontractors, clients, third parties, and internal teams to ensure timely submission and proper handling of documents.
- Maintain and update master lists of controlled documents to ensure accuracy and traceability.
- Use document control systems and platforms such as Novade, PTS, and iSEPCO3 (training will be provided).
- Provide administrative support to the QA/QC team, including data entry, scanning, photocopying, and filing.
- Prepare meeting minutes for quality-related meetings as required.
- Ensure compliance with company quality policies and document control procedures.
- Collaborate with team members to maintain an efficient and well-organized document management system.
Qualifications & Requirements
- Diploma or higher qualification, preferably in Engineering or related fields such as Civil Engineering, Mechanical Engineering, Information Technology
- Prior experience in document control or administrative support in a construction or engineering environment is an advantage.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and PDF tools.
- Strong attention to detail with high accuracy in documentation.
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team.
- Able to perform under pressure and meet deadlines.
Working Conditions
- Based in a site office environment on Jurong Island.
- Standard working hours: 5 days per week, 9 hours per day (including break), 44 hours per week.
- Overtime is not frequent and will be compensated in accordance with Singapore labour regulations.
