The Purchasing Executive will support the end-to-end purchasing function with strong focus on purchasing process control, data tracking, reporting, sourcing analysis, vendor coordination, contract renewal follow-up, ERP/e-procurement usage and system transformation. The role is expected to support the Purchasing Manager in strengthening purchasing governance, improving visibility, reducing manual follow-up and scaling the purchasing function as the company expands.
Key responsibilities:
- Manage and support RFQ exercises, quotation comparison, commercial evaluation, vendor clarification and procurement recommendation documentation
- Analyse procurement data, PR/PO status, RFQ progress, vendor performance, spending trends, contract renewal timelines and procurement bottlenecks
- Maintain and improve procurement trackers, dashboards, reporting templates, RFQ registers, PO registers, contract renewal trackers, vendor databases and outstanding action lists
- Support ERP/e-procurement system usage, data migration, system enhancement, workflow improvement and user adoption
- Coordinate with Operations, Finance, Contracts, IT, vendors, and internal stakeholders to ensure timely procurement follow-up and issue resolution
- Monitor PR-to-PO turnaround time, pending approvals, incomplete PR submissions, outstanding deliveries, invoice support and vendor response timelines
- Support contract renewal follow-up by tracking expiry dates, renewal timelines, sourcing status, approval status and contract documentation
- Assist in developing procurement reports for management review, including workload status, sourcing progress, savings opportunities, vendor comparison and compliance gaps
- Ensure procurement activities are carried out in accordance with Purchasing SOP, DOA, approval requirements and internal governance standards
- Support procurement process improvement, standardisation, digitalisation and scaling of procurement operations as the company expands
Requirements:
- Diploma in Procurement, Supply Chain Management, Business Administration, Data Analytics or related discipline
- 3 to 5 years of experience in procurement, purchasing or supply chain operations
- Strong knowledge of procurement processes, including RFQ management, quotation evaluation, vendor coordination, PO administration and contract management
- Proficient in Microsoft Excel and procurement reporting experience with ERP or e-procurement systems is preferred
- Strong analytical, organisational and problem-solving skills with attention to detail
- Good communication and stakeholder management skills, with the ability to coordinate across multiple departments and vendors
- Ability to manage multiple priorities, meet deadlines and thrive in a fast-paced environment
- Experience in procurement transformation, process improvement, digitalisation, dashboard reporting or Power BI will be an advantage
