About the Role

The Purchasing Executive plays a key role in supporting business operations by ensuring timely sourcing of materials, competitive pricing, and efficient procurement processes. This role is responsible for managing supplier relationships, evaluating costs, and supporting quotation preparation to ensure cost-effective and reliable operations.

Key Responsibilities

1. Sourcing & Supplier Management

  • Source, evaluate, and negotiate with suppliers to obtain competitive pricing and reliable supply options.
  • Build and manage good relationships with suppliers to ensure consistent quality, pricing stability, and delivery performance.

2. Pricing & Cost Evaluation

  • Review and analyse supplier quotations to ensure cost competitiveness and alignment with project budgets.
  • Evaluate product costing, price trends, and market conditions to support purchasing decisions.
  • Maintain updated pricing records and ensure internal teams are informed of any cost changes.

3. Quotation & Sales Support

  • Support the Sales and Operations teams in preparing accurate quotations for projects and customer requirements.
  • Provide updated supplier pricing and cost breakdowns for quotation and tender submissions.

4. Procurement Operations

  • Process purchase requests and issue purchase orders in accordance with project and operational needs.
  • Monitor delivery schedules and coordinate with suppliers to ensure timely fulfilment of orders.
  • Work closely with internal teams to ensure smooth procurement workflow and stock availability.

5. Shipping & Documentation Management

  • Prepare and manage shipping documents and related import/export documentation.
  • Liaise with freight forwarders, suppliers, and internal teams to ensure smooth customs clearance and delivery processes.

6. Record Keeping & Compliance

  • Maintain proper records of purchase orders, supplier quotations, shipping documents, and pricing updates.
  • Ensure all procurement activities comply with company policies and internal control procedures.

Requirements

  • Diploma or Degree in Business, Supply Chain, Procurement, or related field.
  • Experience in purchasing, procurement, or logistics coordination preferred.
  • Knowledge of shipping documentation and basic import/export processes is required.
  • Strong negotiation, analytical, and organisational skills.
  • Proficient in Microsoft Excel and documentation handling.
  • 5 days work week.
