Manage purchase orders and ad hoc local purchases, ensuring accuracy, timely processing, and compliance with company policies.
Source, evaluate, and negotiate with suppliers to obtain competitive pricing, favourable payment terms, and reliable delivery schedules while maintaining good supplier relationships.
Work closely with the Sales team to review forecasts, plan purchases according to projected demand, and follow up on incoming goods.
Coordinate with the Warehouse team to ensure timely receipt of goods and verify product quantity, quality, and proper storage, especially for perishable items.
Collaborate with Warehouse, Inventory, and Logistics teams to monitor stock turnover, optimise inventory levels, and minimise overstocking and stockouts.
Monitor stock levels and discrepancies, and coordinate corrective actions to prevent shortages, delays, and excess inventory.
Liaise with Sales, Warehouse, Finance, and Logistics teams to ensure smooth order processing and timely resolution of operational issues.
Maintain accurate purchasing records, supplier contracts, and related documentation in accordance with company and audit requirements.
Prepare regular purchasing reports, including spending summaries, outstanding POs, and supplier status updates, for the Purchasing Manager and Finance team.
Perform other duties and projects as assigned by management.
Diploma or higher qualification in Supply Chain Management, Procurement, Business Administration, or a related field.
Minimum 2 years of relevant experience in procurement, purchasing, or supply chain management.
Experience in purchasing and handling food products, particularly perishable goods, is preferred.
Proficient in Microsoft Excel, including Pivot Tables, VLOOKUP, and data analysis.
Strong communication and interpersonal skills with the ability to work effectively with suppliers and internal teams.
Knowledge of SAP HANA or other ERP systems will be an advantage.
Customs Declarant certification will be an added advantage.
