Job Description

Key Responsibilities

Production & Purchasing Support

  • Prepare and submit purchase requests for indirect production‑related items.
  • Coordinate overtime documentation and follow up on approvals for production teams.
  • Maintain accurate administrative records to support production control activities.

Warehouse & Logistics Coordination

  • Support order receiving and closing activities in coordination with warehouse teams.
  • Arrange collection and movement of quality‑related materials between warehouse and relevant parties.
  • Maintain proper housekeeping of quality and material records.
  • Coordinate daily operations with third‑party warehouse partners to ensure smooth handling of materials.

Planning & Production Documentation

  • Distribute production‑related documents to relevant internal departments in a timely manner.
  • Circulate manufacturing and production instructions to the shopfloor.
  • Prepare and print kitting lists, improvement records, and production output documents.
  • Support preparation of shipping documents and tax invoices for side orders and spare parts orders.

Cross‑Functional Coordination

  • Coordinate with Engineering / R&D teams to prepare technical manuals or documentation required for customer orders.
  • Support preparation of system connectivity and technical setup documentation required for customer delivery (e.g. machine connectivity or data interface requirements).

Monitoring & Record Keeping

  • Maintain tracking and monitoring sheets for production documents, instructions, and related records.
  • Ensure documentation is properly recorded, updated, and traceable for audit and operational reference.

Requirements

  • Diploma or equivalent qualification in Business Administration, Logistics, Supply Chain, Engineering Administration, or a related field.
  • 1-3 years of administrative experience in a manufacturing, production, planning, or warehouse environment preferred.
  • Strong administrative and documentation skills with attention to detail
  • Good coordination and communication skills across multiple departments.
  • Comfortable working with spreadsheets, documents, and basic reporting tools.
  • Able to manage multiple tasks and priorities in a fast‑paced production environment.
  • Team‑oriented with a proactive and responsible work attitude.
