Job Description

Job Responsibilities

Administrative Support:

  • Assist the purchasing department in admin matters.

  • Perform general administrative and clerical tasks such as data entry, filing, photocopying, and scanning documents.

  • Maintain accurate records of machinery certifications, road tax and insurance renewal

  • Assist in preparing documentation for audits or inspections when required

  • Manage office supplies - monitor stock levels and place orders when necessary.

  • Assist in organizing meetings, scheduling appointments, and preparing meeting rooms.

  • Support HR/admin team in preparing letters, memos, and reports as assigned.

  • Handle staff attendance records and assist in maintaining employee files (if required).

  • Assist with coordination of office maintenance, repairs, and service providers.

  • Maintain records of company assets, office equipment, and service contracts.

  • Maintain and update inventory records of materials and tools

Reception Duties (Minimal, as the role will only cover the receptionist duties when existing staff is on leave):

  • Greet and attend to visitors, clients, and guests in a courteous and professional manner.

  • Manage the main telephone line - answer, screen, and direct incoming calls appropriately.

  • Handle incoming and outgoing mail, couriers, and deliveries.

  • Maintain a tidy and welcoming reception area.


Job Requirements

  • At least Diploma in Business Administration, Office Management, or a related field.

  • Minimum 2 years of relevant experience as in purchasing admin.

  • Good communication skills - verbal and written

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Well-organized, responsible, and detail-oriented.

  • Able to multitask and manage time effectively.


Normal office hours - Monday to Friday (8.30am - 5.30pm)
