We are seeking a highly skilled and experienced Proposal Coordinator who will support the Proposal Manager in all aspects of the bid and proposal process. The successful candidate will demonstrate excellent organizational abilities, attention to detail, and collaborative spirit, assisting in the preparation, coordination, and submission of high-quality proposals. Responsibilities:
- Assist in preparing, formatting, and submitting proposals and bid documents.
- Coordinate inputs from technical, commercial, and design teams to meet deadlines.
- Maintain accurate records of opportunities, submissions, and feedback.
- Support data entry and quality assurance in CRM and other core systems.
- Help organize governance meetings and track action items.
- Liaise with internal stakeholders to gather required information for bids.
- Proofread and tailor pre-written material for proposals.
- Compile reports on bid status, pipeline, and win/loss analysis.
- Support training and best practice sharing initiatives led by the Proposal Manager.
- Ensure proposal comply with company objectives, systems and risk management requirements.
- Track and update business development activities, leads, pipelines and opportunities.
- Facilitate prospect review meetings and maintain Bid Master File.
- Support general administrative tasks for smooth BD operations.
- Maintain prospective client and key contact database.
Requirements:
- Bachelor's degree or equivalent experience in marketing, communications, business, or engineering.
- 2-6 years experience in bidding, proposals, or project coordination.
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- Proficiency in MS Office and collaboration tools.
- Attention to detail and ability to work under pressure.
