Job Summary
The Property Officer supports daily management of residential, commercial, or mixed-use properties, ensuring maintenance, statutory compliance, and high service standards.
Responsibilities
- Assist the Property Manager or Condominium Manager in managing daily property operations to ensure smooth functioning
- Conduct routine property inspections to identify defects, maintenance needs, safety hazards, and service lapses
- Coordinate and monitor repair, maintenance, and improvement works with contractors, vendors, and service providers to maintain property quality
- Prepare quotations and evaluate proposals to support procurement, tender, and contract renewal processes
- Supervise and coordinate cleaners, security personnel, landscape contractors, and other outsourced service providers to ensure service standards
- Respond promptly and professionally to residents, tenants, and owners feedback, complaints, and service requests
- Administer facilities bookings, access control, and common area usage to support operational efficiency
- Maintain accurate documentation, records, reports, logs, and contractor files for compliance and audit purposes
- Assist in budgeting, cost control, and monitoring of service and maintenance expenses to support financial management
- Support meetings, site handovers, insurance matters, and other property management administrative duties as assigned
Required competencies and certifications
- Higher Nitec or Diploma in Building/Facility Management, Real Estate, Engineering, or related discipline
Preferred competencies and qualifications
- Experience in property management, building operations, or strata-titled properties
- Understanding of building maintenance, estate management, and statutory compliance requirements
- Customer service orientation with ability to handle challenging situations tactfully
- Strong interpersonal and communication skills to engage effectively with residents, tenants, contractors, and stakeholders
- Ability to work independently, manage multiple priorities, and respond effectively to operational issues
- Proficiency in Microsoft Office and basic reporting/documentation tasks
- Organized, attentive to detail, and hands-on in site operations
- Team player with a proactive approach to maintenance and service management
