Job Summary

Manage and oversee daily site operations to ensure efficient condominium management and compliance with regulatory standards while supporting the Condominium Manager and engaging service providers to deliver high-quality maintenance and development services.

Responsibilities

  • Lead day-to-day site operations to maintain smooth condominium management and service delivery
  • Support the Condominium Manager and headquarters in executing daily operational tasks and strategic initiatives
  • Conduct on-site inspections of development works performed by appointed contractors to ensure quality and compliance
  • Coordinate and manage service providers for repairs and maintenance as directed by clients, ensuring timely and effective service
  • Generate and track Purchase Orders for client-approved works to maintain accurate financial records
  • Monitor and follow up with service providers on the submission of monthly maintenance schedules, quotations, claims, and invoicing to ensure accountability
  • Organize, convene, and participate in meetings prepare detailed minutes and reports to document discussions and decisions
  • Respond promptly and professionally to residents feedback to enhance customer satisfaction and community relations
  • Prepare and submit annual budgets aligned with operational needs and financial targets
  • Ensure strict compliance with the Building Maintenance and Strata Management Act (BMSMA), relevant laws, government regulations, and company policies to uphold legal and ethical standards
  • Assist in preparing documentation and proposals for Extraordinary works as directed to support project approvals and execution

Required competencies and certifications

  • Higher NITEC or Diploma in Estate Management
  • Minimum of 2 years experience in estate or facilities management-related roles
  • Strong communication skills demonstrated by effectively engaging with stakeholders at all levels
  • Negotiation skills applied to manage service providers and contractors to achieve favorable outcomes
  • Ability to manage multiple tasks under pressure by prioritizing workload and managing time efficiently
  • Customer service orientation with the ability to interact professionally with diverse individuals
