Job Function
Responsible to upkeep building facilities in good and serviceable condition, carry out timely preventive works, manage and maintain daily site operations to ensure compliance with regulations.
Job Responsibilities
1. Building Operations & Maintenance
- Ensure building facilities and equipment are operational and compliant with statutory requirements.
- Conduct routine building inspections and facility checks.
- Attend to electrical, mechanical and building maintenance issues and defects.
- Ensure preventive maintenance programs are carried out according to schedule and checklist requirements.
2. Vendor & Contractor Management
- Supervise and monitor contractors and service providers to ensure work is completed according to scope, safety standards, and legal requirements.
- Evaluate vendor performance and recommend service improvements.
- Source quotations and recommend suitable vendors for maintenance and repair works.
- Administer contract issuance and renewals.
3.Project & Renovation Management
- Supervise Addition & Alteration (A&A) projects.
- Monitor tenant fitting-out and renovation works to ensure compliance with house rules and safety regulations.
- Assist with documentation and compliance requirements related to tenant renovation projects.
4. Compliance & Documentation
- Obtain and maintain all required licenses, permits, and certificates from relevant authorities.
- Maintain accurate records and documentation relating to building operations, maintenance activities, and contractors.
- Report operational irregularities to management.
5. Procurement & Financial Administration
- Prepare purchase requisitions and purchase orders in accordance with company SOPs.
- Process payment requests and certify invoices promptly for completed works.
6. Tenant Relations & Customer Service
- Build and maintain positive relationships with tenants.
- Address tenant feedback, concerns and maintenance-related issues.
- Collaborate with the Leasing Department to resolve tenant matters in line with company guidelines.
- Respond to emergencies and urgent issues outside normal office hours when required.
7. Safety & Enforcement
- Enforce building regulations relating to parking, fire safety, and common area usage.
- Ensure all maintenance and renovation activities comply with EHS (Environment, Health & Safety) requirements.
8. Other Duties
- Perform additional assignments and responsibilities as directed by Management.
Job Requirements
- Diploma in Building / Facility Management / Mechanical / Engineering or equivalent
- Minimum 3 - 4 years relevant experience in property management of office buildings
- Good technical knowledge
- Good communication and interpersonal skills
- Good organizational and computer skills (including proficiency in Microsoft Office Applications)
- A good team player, meticulous and able to work in a fast pace and dynamic environment
