Project Coordination
- Assist Project Managers in planning, coordinating, and implementing project activities.
- Coordinate project resources, equipment, schedules, and information.
- Liaise with internal and external stakeholders to define project requirements, scope, and objectives.
- Monitor project timelines and follow up on action items to support project delivery.
Documentation & Reporting
- Prepare, maintain, and update project documentation, including project plans, schedules, status reports, and trackers.
- Maintain registers, filing systems, and ensure records are accurate and audit-ready.
- Compile and consolidate data for project metrics, budget tracking, and basic financial reporting.
- Ensure proper document control, version management, and approval processes are followed.
Meeting & Communication Support
- Coordinate and arrange meetings, workshops, and stakeholder engagements.
- Prepare meeting agendas, collate supporting documents, and record accurate minutes.
- Communicate project updates, issues, and risks to relevant stakeholders in a timely manner.
- Handle incoming and outgoing correspondence, including emails and phone calls.
Administrative & Operational Support
- Provide comprehensive administrative support to the project team.
- Assist with procurement activities, delivery coordination, and invoice processing.
- Support day-to-day operational and administrative functions to ensure smooth project execution.
- Maintain organized records and ensure compliance with company procedures and standards.
Requirements
- Minimum 1-2 years of administrative or project coordination experience preferred.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong organizational, communication, and multitasking skills.
- Ability to work independently and manage multiple tasks effectively.
- Detail-oriented with good documentation and record-keeping skills.
