Job Summary: Project Management Office (PMO)

We are seeking a detail-oriented and proactive Project Management Office (PMO) to join our client team. You will be responsible for overseeing overall project progress. The PMO role supports the organization's project portfolio by ensuring governance, consistency, and efficiency in project execution. This position provides oversight, reporting, and guidance to project teams while aligning initiatives with strategic objectives. This role requires strong organizational skills, financial acumen, and the ability to collaborate across multiple teams and vendors.

Key Responsibilities

1. Project Documentation & Governance:

  • Draft and maintain essential project documents including:
  • Project Charter Business Case
  • Project Budget Project
  • Schedule
  • RAID Log (Risks, Assumptions, Issues, Dependencies)
  • Ensure documentation aligns with organizational standards and supports project governance.

2. Procurement & Contract Administration:

  • Support procurement activities by coordinating with vendors and internal stakeholders.
  • Gather Statements of Work (SOWs) and ensure compliance with Third-Party Risk Management (TPRM), Anti-Money Laundering (AML), and legal checks.
  • Facilitate contract signing and Purchase Order (PO) issuance in line with company policies.

3. Financial Administration:

  • Process invoices and payments in coordination with internal finance teams and approvers.
  • Track and reconcile vendor payments to ensure accuracy and timeliness.
  • Maintain clear records for audit and compliance purposes.

4. Budgeting & Forecasting:

  • Forecast project spend and compare against allocated budgets.
  • Monitor variances, investigate discrepancies, and provide clear explanations to stakeholders.
  • Support financial reporting and ensure transparency in project financials.

Key Deliverables

The Project Management Office (PMO) will be accountable for the following:

  • Process Compliance: Comply to the SDLC process for projects, ensuring compliance from initiation to closure.
  • Resource & Financial Management: Detailed resource plans and accurate budget tracking and forecasting for the entire data project stream.
  • RAID Management: Document and consistently maintain the RAID log for projects. Develop and implement risk mitigation strategies to ensure project success.
  • Comprehensive Status Reporting & Project Dashboards: Regular, transparent, and data-driven reporting on project health, including progress against plan, budget variance, resource utilization, and risk status.

Qualifications & Experience

  • Required:
  • Bachelor's or Master's degree in Accounting, Business Administration, or related fields.Fresh graduates with 3-5 years of relevant experience are welcome.Experienced professionals with experience in Procurement, Accounting, or Finance departments (particularly in payment processing and vendor management) are equally encouraged to apply.
  • A collaborative mindset with an aptitude for team coordination across cross-functional groups. Must be able to adhere strictly to established processes. Comfortable working with numbers and financial data ability to understand and manage budgets, expenses, and payments. Strong planning skills with the ability to anticipate needs and manage deadlines effectively. Desired/Preferred:
  • Drafting approval papers, business cases, or project documentation.
  • Contract administration, including vendor onboarding, vendor checks, payment processing, and use of tools such as SAP Concur.
