Overview
Project Executive plays a critical role in planning, coordination, and execution of assigned projects to ensure they are delivered on time, within scope, and within budget across Stamford properties in Australia and Singapore. This role works closely with Project Managers, internal teams, and external vendors to handle day-to-day project activities, documentation, and reporting.
This role requires travelling to Australia and temporary stationing at properties depending on project needs.
Responsibilities
Project Coordination & Site Management
- Temporarily station in Australia to support project coordination and execution across assigned hotels as required
- Work closely with the Project Manager and hotel operations teams to plan, prepare, and execute project requirements.
- Coordinate with consultants & contractors on-site to ensure clear communication of hotel requirements and proper organisation of works.
- Ensure minimal disruption to hotel operations through effective coordination with hotel teams and contractors.
- Maintain effective remote coordination with the Singapore Head Office when off-site.
Cost, Contract & Documentation Support
- Assist in preparing project briefs, tender documents, and project scopes as requested by the Project Manager.
- Prepare comprehensive site reports for Management and the Project Manager, including and not limited to progress tracking and risk/issue identification.
- Monitor project progress and provide timely, structured updates on status, costs, variations, and budget performance.
- Prepare and maintain proper project documentation, meeting minutes, and filing systems
Tender, Vendor & Stakeholder Coordination
- Research, shortlist, and engage suitable contractors and vendors for new projects.
- Arrange and conduct vendor site briefings, show-rounds, and technical inspections.
- Assist with tender documentation, preparation, and coordination.
- Respond to contractor and consultant queries, providing accurate site clarifications.
- Participate in tender evaluations and technical discussions as required by the Project Manager.
- Relay hotel operational needs clearly to contractors to ensure alignment with site conditions.
- Monitor workmanship quality and highlight any issues, risks, or non-compliance observed on site.
- Support on-site organisation during construction, installation, and rectification activities.
Requirement
- Minimum Diploma / Degree in Project Management, Engineering, Business, or related field
- 3-4 years of relevant project coordination or execution experience
- Basic understanding of project lifecycle, scheduling, and documentation
- Experience in project coordination, contractor management, and tender processes is highly advantageous.
- Ability to work independently with strong problem-solving and communication skills.
- Detail-oriented, proactive, and able to work under deadlines
- Willingness and ability to travel or be stationed in Australia for extended periods.
- Ability to manage multiple stakeholders and maintain clear, concise communication.
- Familiarity with hotel operations, building services, and technical systems is an advantage
- Experience specifically related to commercial interior renovation projects is a plus.
