Founded in 2011, Empact is a leading social enterprise with the mission to build the capacity of social organisations (referred to as non-profit organisations and social enterprises) in Singapore and the region. Through our cross-sector collaboration with sector developers, grantmakers, corporates and volunteers, we bridge the capacity gap of the social service sector by channelling talents, skills and resources to co-create innovative solutions, thus empowering our clients to make a greater impact.
To date, Empact has worked with more than 2,000 social organisations in the region, with a contribution of savings of up to $9 million in professional services rendered pro bono for the sector.
Empact was conferred a Company of Good (3 Hearts) by Singapore's National Volunteer and Philanthropy Centre (NVPC) in 2025. The organization also won the President's Volunteerism & Philanthropy Awards (PVPA) City of Good Award in 2022 for the Pro Bono School initiative in partnership with Procter & Gamble and Credit Suisse, as well as the President's Challenge Social Enterprise Champion 2023 award in recognition of our sustained contribution to the social enterprise ecosystem.
RESPONSIBILITIES
Role Overview
The Project Support provides comprehensive project coordination, event management, administrative and logistical support to ensure the successful planning, execution, and delivery of projects and events. This role works closely with project managers, internal teams, vendors, and stakeholders to manage documentation, schedules, budgets, logistics, and on-site execution while maintaining high standards of quality and efficiency.
Key Responsibilities
Project & Administrative Support:
- Provide administrative support for business development and tenders.
- Provide administrative support to project managers across the project lifecycle.
Documentation & Data Management:
- Develop, update, review, and maintain accurate and timely project and event documentation.
- Organize and manage data collection for reports, proposals, status updates, and postproject or postevent evaluation.
Scheduling & Coordination:
- Schedule and coordinate project and event-related meetings, including preparing agendas, presentation slides and workshop materials, and following up on action items.
- Develop and maintain project timelines, event schedules, and status reports to track deliverables and milestones.
Event Planning & Management:
- Plan, organize, and execute events ranging from workshops to conferences or functions, ensuring objectives, requirements, and budgets are met.
- Coordinate all event logistics, including venue selection, catering, transportation, guest registration and on-site requirements.
- Oversee event setup and operations, ensuring smooth execution and addressing issues as they arise.
- Administer event evaluation and obtain participant feedback.
Vendor & Stakeholder Coordination:
- Liaise with venues, suppliers, and service providers, including sourcing quotations, reviewing proposals, and supporting contract negotiations.
- Serve as a key point of contact for internal stakeholders and external partners, providing updates and responding to enquiries in a timely manner.
Budget & Financial Support:
- Assist with budget development, tracking, cost monitoring, and financial reporting for projects, workshops and events.
- Ensure expenses remain within approved budgets while maintaining quality and value.
Process Improvement & Evaluation:
- Contribute to continuous improvement initiatives by reviewing processes, tools, and workflows.
- Conduct postevent, post-workshop and postproject evaluation, gather feedback, and prepare summary reports with recommendations for improvement.
QUALIFICATIONSREQUIREMENTS
- Diploma in any discipline
- Minimum of two years experience in project administration, event coordination or a similar role.
- Strong organizational and timemanagement skills with the ability to manage multiple projects and events concurrently.
- Good communication and interpersonal skills, with confidence in coordinating across teams and vendors.
- Proficiency in computer applications, scheduling tools.
- High process-orientation and attention to detail
- Adaptability and ability to perform effectively and independently in fastpaced, deadlinedriven environments.
