Responsibilities
Facility related project:
. Raise Purchase Requisitions (PRs) and follow upon procurement matters.
. Coordinate with Finance on progressive claims and payment submissions.
. Maintain proper filing and document control, including hard-copy transmittals and scanned records.
. Coordinate security briefings and safety inductions for contractors and visitors.
. Ensure required documents, such as name lists, competency passes, Safety Data Sheets and method statements, are complete before submission.
. Monitor induction status and send confirmation notices.
. Assist with security administration, including T-pass applications and data entry.
. Attend daily site coordination meetings and compile contractor headcount information.
. Coordinate bi-weekly progress meetings, including invitations, room bookings, attendance and meeting minutes.
Investor relations / Annual Report:
. Support the preparation of the Annual Report, including drafting, proofreading and data entry.
. Assist with AGM logistics and coordination.
. Provide administrative and logistical support for Environmental Committee initiatives.
. Perform general administrative duties such as scanning, verification and records disposal.
. Perform any other tasks as may be assigned by the supervisor.
. Ensure compliance to relevant government regulations and company's quality, safety, health and environmental (QSHE)policies, practices and procedures at all times.
Requirements
. Fresh graduates are welcome to apply.
. Experience in administration or document control is preferred.
. Proficient in Microsoft Office with good written and proofreading skills in English.
. Comfortable working in both office and outdoor/site environments.
. Comfortable interacting with contractors, consultants and site personnel.
. Able to work independently with minimal supervision and manage multiple tasks.
. Good organizational skills and attention to detail.
. A responsible team player with good communication and good organizational skills.
