Job Summary

Provide comprehensive administrative and project coordination support to the operations team, ensuring timely documentation, procurement, and reporting to facilitate smooth project execution.

Job Responsibilities

  • Coordinate all aspects of project activities to ensure smooth operations and timely delivery
  • Prepare and deliver accurate quotations and purchase orders to support procurement and client communications
  • Source materials effectively and negotiate pricing to optimise company resources and cost-efficiency
  • Liaise with relevant parties to prepare, submit and track statutory applications and permits to ensure full compliance
  • Prepare detailed site progress reports for clients to keep them informed of project status
  • Assist in reviewing contract clauses and coordinate the procurement of necessary project insurance policies
  • Prepare and submit monthly progress claims by deadlines and maintain updated claim progress files
  • Compile and organise material catalogues, technical data sheets, and warranties to prepare a comprehensive Operation and Maintenance Manual for project handover.
  • Perform additional tasks assigned by management to support team objectives

Required competencies and certifications

  • Minimum 5 years of relevant administrative or coordination experience within the construction industry
  • Diploma in Building Services, Mechanical/Electrical Engineering, Quantity Surveying, Business Administration, or a related discipline.

Preferred competencies and qualifications

  • Strong numerical accuracy with a keen eye for detail when handling quotations, claims, and documentation.
  • Excellent multitasking and organisational skills, with a proven ability to work independently in a fast-paced environment.
  • Resourceful problem-solving skills and a positive, proactive mindset.
  • High proficiency in Microsoft Office software (Word, Excel, PowerPoint)
