Job Description

Project Administrator

We are looking for a Project Administrator to support our Building Department in one of our newly secured Facilities Management (FM) contracts. The role involves coordinating maintenance requests, liaising with clients and subcontractors, and ensuring timely updates through our facilities management system.

Key Responsibilities

  • Monitor and update maintenance requests using the Facilities Management System.

  • Coordinate with clients and subcontractors on the status and progress of maintenance works.

  • Record, update and close maintenance requests in the system.

  • Generate and prepare reports from the system for internal tracking and client reporting.

  • Monitor subcontractors response times and work completion.

  • Follow up with subcontractors to ensure service standards and response timelines are met.

  • Assist in preparing regular reports for clients.

  • Provide general administrative support to the project team.

Requirements

  • GCE O Level, NITEC, Higher NITEC, Diploma or equivalent.

  • 1 year of administrative, project coordination or related working experience.

  • Proficient in Microsoft Office (Word, Excel, Outlook and PowerPoint).

  • Good organisational and communication skills.

  • Able to work independently with minimal supervision.

  • Experience in Facilities Management, Building Maintenance or Construction will be an advantage.
