Job Description
The Project Administrator supports the project team by tracking, following up and closing outstanding matters.
The role requires strong follow-up, coordination and organisation to ensure project tasks, documents and deadlines are properly managed.
Responsibilities
- Maintain and update project trackers and outstanding lists.
- Follow up with Project Managers, Coordinators, Supervisors, suppliers and subcontractors.
- Track deadlines and chase overdue actions.
- Escalate delayed or unresolved matters when required.
- Track work orders from issuance to completion.
- Follow up on quotations, approvals and variation works.
- Chase for site photos, reports, signed documents and supporting records.
- Track project submissions and approvals.
- Follow up on material orders and delivery dates.
- Track completed works for claims and billing.
- Follow up on meeting action items.
- Track defects and rectification works until closure.
- Assist with project handover and close-out documents.
- Ensure no outstanding matter is left without an owner, deadline or next action.
Requirements
- Strong follow-up and coordination skills.
- Organised, proactive and detail-oriented.
- Able to manage multiple tasks and deadlines.
- Good communication skills.
- Proficient in Microsoft Excel, Word and email.
- Construction or facilities management experience is preferred.
