Job Summary

Support project financial management and administrative operations to ensure timely settlement of accounts, accurate documentation, and effective stakeholder coordination within engineering projects.

Responsibilities

  • Update monthly project cash flow reports to support financial tracking and forecasting
  • Settle progress claims and payments, and finalize project accounts within stipulated deadlines to ensure accurate financial closure
  • Issue Purchase Orders to suppliers and monitor material costs to maintain budget control
  • Liaise proactively with customers, vendors, subcontractors, and project staff to facilitate smooth project execution
  • Reconcile invoices against Purchase Orders and resolve supplier queries to maintain accurate accounts payable records
  • Follow up on overdue receivables to optimize cash flow management
  • Assist in preparing documentation for ISO audits to support compliance and quality assurance
  • Participate in workflow and process improvement initiatives to enhance operational efficiency
  • Monitor and track training course schedules for site staff to ensure compliance with training requirements
  • Prepare monthly reimbursement claims to support employee and project expense management
  • Support the Accounts team with accounts payable processing and supplier payment preparation to ensure timely disbursements
  • Assist the Accounts team with reporting and audit preparation to maintain financial transparency
  • Maintain, review, and update project budgets to support financial planning and control
  • Provide administrative support and fulfill ad-hoc requests from the Administrative Team, Accounts Team, Management, and supervisors to ensure smooth office operations

Preferred competencies and qualifications

  • Diploma or Degree in Project Administration/Management or related field, or equivalent work experience
  • Minimum 2 years of experience in a similar role
  • Experience in M&E or construction industries preferred
  • Proficiency in Microsoft Office applications to support documentation and reporting
  • Strong oral and written communication skills to facilitate effective stakeholder engagement
  • Effective time management skills to meet deadlines and manage multiple tasks
  • Ability to collaborate effectively within a team environment

Other Information

  • Work Location: Jurong East, Singapore
  • Working Hours: Monday to Friday, 8:30 AM to 6:00 PM
  • Salary commensurate with experience candidates should indicate expected remuneration
