Job Description

Location: Pandan Road

Contract period: 45-60 days

Working days: Mon to Sat

Working hours: 8am to 5pm with OT

Objective Overview

We are seeking a Project Admin Manager to support an onsite technical team during an upcoming short-term project based in a shipyard in Singapore. The ideal candidate will be highly organized, proactive, and comfortable working in a dynamic and noisy industrial environment.

Role Overview:

The Project Admin Manager will assist with both administrative and project-related tasks, ensuring the smooth operation of daily activities. This includes coordination with vendors, document control, tracking schedules and budgets, and supporting the technical team with essential project tools and systems.

Primary Responsibilities:

  • Provide administrative support to the onsite team in areas of scope, schedule, budget, and contracting.
  • Implement and maintain project tracking systems using tools such as Smartsheet, Egnyte, and Microsoft Office.
  • Extract, format, and report project data for internal tracking and management use.
  • Serve as liaison between the project team, accounting departments, vendors, and contractors.
  • Oversee purchase orders, monitor remaining balances, and flag any budget exhaustion issues.
  • Assist in generating reports, presentations, and maintaining project documentation.
  • Maintain document control procedures and task tracking systems.
  • Monitor the full requisition-to-invoice process and report discrepancies.
  • Support team members with scheduling, meeting coordination, and general administrative tasks.
  • Help maintain accountability processes for the team to ensure project alignment.
  • Assist the Project Manager and Engineers with other project-related duties as needed.

Qualifications:

  • Strong proficiency with Microsoft Office Suite (especially Excel, Outlook, and PowerPoint).
  • Familiarity with project management tools (Smartsheet, Egnyte preferred).
  • Prior experience with accounting or budget tracking is a plus.
  • Good working knowledge of the Singapore area and local resources.
