Position: Project Admin & Accounts
Job Description
- Provide administrative and accounts support for ongoing construction and renovation projects.
- Monitor project progress and follow up closely with project teams, site supervisors, subcontractors and suppliers.
- Visit project sites regularly to verify actual work progress and report updates to management.
- Assist with preparation and follow-up of progress claims, invoices, payment applications and supporting documents.
- Check and process supplier/subcontractor invoices, quotations, purchase orders and delivery orders.
- Maintain accurate project records, including contracts, claims, invoices, payment status and project documentation.
- Track outstanding payments and follow up with clients, suppliers and subcontractors when required.
- Assist the Project Manager with project coordination, documentation and general administrative matters.
- Coordinate manpower, material deliveries and site requirements when necessary.
- Prepare basic project reports and updates using Microsoft Excel and Word.
- Liaise with internal teams, clients, suppliers and subcontractors to ensure smooth project operations.
- Work on Saturdays when required, depending on site schedules and manpower deployment.
- Perform other project administration and accounts duties as assigned.
Job Requirements
- Minimum 2 years of relevant experience in construction, renovation, project administration or accounts.
- Experience in construction project administration and basic accounting is preferred.
- Good knowledge of Microsoft Office, especially Excel and Word.
- Familiar with invoices, payment records, quotations, DOs, POs and basic accounting procedures.
- Good communication and coordination skills.
- Able to work independently, multi-task and meet deadlines.
- Willing to travel to project sites and work in a site environment when required.
- Must be flexible to work on Saturdays based on site requirements and manpower deployment.
- Candidates who are proactive, responsible and willing to take initiative are preferred.
- Knowledge of construction/renovation processes will be an advantage.
