Registered as a charity under the Charities Act of Singapore, Daughters Of Tomorrow complements and supports existing training and workforce-related agencies by connecting volunteers and community resources to enable each woman on an individual level. By deep-diving into the practical day-to-day constraints of these women, we offer hand-holding and individual coaching to help each woman reach regular and sustained employment. Our clients are women aged 18 to 63 from low-income families (living on less than $1500 per capita per month), mostly living in government-subsidized rental flats, and facing multiple stressors in their families. Through sustained employment, women in our employment bridging program regain confidence in themselves and gain a social support network that helps them through their difficult times.
Programs and Operation Associate - One Year Contract (Renewable)
About the Role
The Programs and Operation Associate role introduces DOTs programs and services to women who are referred to DOT and supports program and events execution across all teams. This role is also responsible for program registration, responding to enquiries, data entry
Responsibilities
Program and Operation Execution
Call, orientate and recruit women referred to DOT for all pre-employment preparation programs, services and workshops
Conduct intake assessment, basic case management with the qualifying criteria according to SOP
Coordinate programs and liaise with stakeholders including women, community partner, volunteer childminders and volunteer trainers in a timely and responsible manner to ensure proper attendance and execution of program
Responsible for ensuring healthy program registration numbers
Prepare all program materials including soft and hard copy training materials, AV, decorations, F&B etc according to SOP
Coordinate for any transportation support for heavy materials to be sent to program venue
Ensure that all program information is disseminated to participants, volunteers and GOH according to SOP
Be physically present at programs islandwide to set up AV equipment, presentation slides, seating arrangements, decorations and F&B during graduation, orientate all participants and volunteers, ensure children safety, record all attendance and observe program (programs are typically on weekday evenings and weekends)
Communicate and build rapport with all stakeholders in a professional and timely manner
Maintain program group chats on Whatsapp using company line and share EDMs on upcoming programs and events
Flexible to step in as a childminder during program execution where necessary
Support any major DOT annual events including IWD, Mothers Day, DOT Gala, Employer Awards, Golf Fundraiser
Administration
Responding to and triaging email enquiries to relevant department
Ensuring that all data entry are keyed in a timely and accurate manner after the completion of each session
Prepare basic reporting numbers for program attendance
Collect relevant data using standard forms, and update personal data in system and relevant documentation where necessary
Input relevant observations in system to maintain clear communications with Employment Bridging team
Communicate directly with social workers and referral partners via email on any updates for their clients as required by Programs and Operation Manager
Disseminate and collect survey data for programs where required
Edit digital flyers using Canva to reflect updated program information
Ensuring that all data and information are kept confidential according to PDPA regulations
Qualifications
Diploma Holder
Minimum 2-3 years in a customer service related, events management, program or project management role,social work experience
Singaporean or PR
Preferred Skills and Competencies
Proficient in Microsoft Excel, Word, Powerpoint, Design Skills (Canva), Data Entry, AV Set Up
Good spoken and written communication skills is required
Strong affinity for people interaction
Customer oriented and ability to manage minor conflicts
Ability to handle unforeseen situations such as last minute cancellations from volunteers, special requests, AV hiccups etc
Punctual and reliable with flexible work arrangements
Self-motivated with the ability to work independently and and proactively in a team
Highly organised, high attention to detail, and ability to implement processes to a variety of internal stakeholders including sponsors, partners and participants
Ability to thrive in uncertainty, and build processes as we need them, and as we grow as an organisation
Ability to communicate and collaborate effectively across departments
Ability to prioritise and manage multiple program deadlines
