The Programme Manager/Executive position reports directly to the General Manager. This position is accountable for the various programme under the Society of St. Vincent de Paul (National Council of Singapore) and SSVP Ltd. Every programme supports our SSVP mission of serving and journeying with the poor and marginalized - regardless of their race, nationality, and religion. This position has a good balance between administrative and hands-on work bringing hope to our beneficiaries for a better life and a better future.
Job Description
1. Administrative Management
- Responsible for the management of database.
- Manage the procurement, tender evaluations, quotations, and contract administration relating to each programme.
- Liaise with appointed suppliers on deliveries, and follow-up on any actions required.
- Manage and maintain the programme administrative systems, processes, and policies to achieve efficiency and productivity.
2. Programs Management
- Assist the General Manager and the respective committees in overseeing all programmes.
- Work closely with the various stakeholders in the planning, budgeting, and execution of assigned tasks to achieve successful completion of each programme.
- Manage the full cycle of each programme from start to end.
- Manage volunteers -from training of new volunteers to the efficient allocation of duties.
3. Warehouse and Inventory Management
- Manage the warehouse operations liaise with the Facilities personnel when technical and maintenance support is required.
- Manage relevant stocks / inventories related to the programmes, ensuring all items are restocked timely in accordance with demand.
- Conduct regular inventory audit.
4. Compliance and Risk Management
- Work closely with the Facilities personnel to ensure the warehouseis following the local fire and safety code.
- Ensure every program is compliance with regulatory requirements, data protection, and risk management in line with internal and external regulatory policies.
5. Support to National Council and SSVP Ltd
- Support the National Council (NC) and SSVP Ltd, and their various Committees on adhoc activities where support is required.
Qualifications and Experience
- Ability to work on weekday evenings and on weekends when required (with appropriate compensatory time/day-off).
- Proven leadership and management skills especially in management of volunteers.
- Excellent organizational and communication skills.
- Ability to work independently.
- Familiarity with non-profit operations(desirable but not required).
- Proficient in computing skills Microsoft Word, Excel, Powerpoint, etc
