COMPANY DESCRIPTION
THKMC was incorporated on 13 October 2011 as a charity to provide multiple social and welfare services to the community at large, and achieved an Institute of Public Character (IPC) status on 18 November 2011. THKMC is the charitable arm of Thye Hua Kwan Moral Society, which lives by the mission - To Serve Mankind - to help anyone who needs help regardless of their race, religion, colour, language, creed and culture. THKMC today serves more than 70,000 beneficiaries through more than 70 programmes across five Services, which include Disability, Early Intervention for Children, Family, Seniors Community, and Therapy.
RESPONSIBILITIES
- Supporting the Families for Life @ Community (FFLC) team in the administration of various parenting & marriage programmes & talks.
- Involvement in Outreach activities to partners, setting up booths/talks for Life Community (FFLC) events
- Liaising with Volunteers to support the programmes - poster design, seminar & group session logistics.
- Maintaining statistics, database & assisting in submission of statistics reports
- Sourcing for quotes to purchase programme materials
- Involvement in ad-hoc projects eg. working with vendor on video production
- Attending internal & external meetings
- Attending to email and phone queries
- Checking stocks for programme materials
- Main administrative point of contact for external stakeholders
- Assisting and supporting the Centre Head where necessary
- Any other duties assigned by the Centre Head / Chief Family Services
Pre-programme
- Discussing with parents/couples & scheduling sessions (in discussion with Prog IC)
- Administrative work related to registration - Setting up registration forms, sending out registration forms, sending reminders, keeping track and following up with registrants on session details.
- Disseminating posters to schools, community partners & clients to recruit participants
During Programme
- Logistical / technical set-up for physical or online sessions - Seminars, Talks, Group programmes
- Managing logistical issues for physical & online seminars/group programmes
- Attending to queries (in consultation with Prog IC)
Post-Programme
- Following-up with participants on their interest in other programmes, attendance & materials
- Following-up with absent participants
- Collation of Human Interest Stories (HIS)
QUALIFICATIONSMinimum Diploma, preferably in Social Work, Psychology, or Counselling.
Relevant experience in a social service is highly advantageous.
Communication: Excellent verbal and written communication skills to engage effectively with clients, families, and stakeholders
A strong team player with a collaborative mindset.
Proven ability to work independently and manage tasks with minimal supervision.
Proactive learner with a strong willingness to pick up new processes.
Keen interest in being involved in Programme Administration within a social service environment.
