The FAM (Allkin Singapore) Programme Coordinator supports the delivery of community-based programmes by managing front desk operations, coordinating programme logistics, maintaining accurate administrative records, and engaging stakeholders to identify needs and connect them to appropriate parenting programmes. This role is front-facing and requires strong customer service, operational coordination, and attention to detail in a fast-paced Singapore community setting.

RESPONSIBILITIES

1) Front Desk and Reception Duties

  • Serve as the first point of contact to welcome and assist visitors professionally and warmly.
  • Respond promptly to general enquiries about services via walk-ins, phone calls, email, and messaging channels (e.g., WhatsApp/Teams where applicable).
  • Manage reception duties, including basic visitor management and maintaining a welcoming environment.
  • Oversee and maintain appointment scheduling and room booking systems to ensure accuracy, minimise clashes, and support smooth daily operations.
  • Triage enquiries appropriately and escalate sensitive cases to the relevant staff in a timely manner.

2) Programme Coordination and Logistics

  • Plan, organise, promote, and provide end-to-end logistical support for programmes, workshops, and outreach events.
  • Coordinate registrations, confirmations, reminders, attendance taking, venue setup, materials preparation, and post-session follow-ups.
  • Liaise with internal teams, facilitators, and vendors (if applicable) to ensure programme requirements are met.
  • Support basic publicity and outreach coordination (e.g., collaterals distribution, partner sharing, participant comms).

3) Administration, Reporting, and Records Management

  • Handle administrative tasks meticulously (e.g., emails, documentation, filing, procurement requests where applicable).
  • Track programme data such as registrations, attendance, feedback, and basic outcomes, and support regular reporting requirements.
  • Organise and maintain records and information repositories in a systematic and retrievable manner (digital and/or physical).
  • Maintain confidentiality and ensure proper handling of personal data in line with organisational requirements and PDPA practices.
  • Liaise with IT department from Shared Services to coordinate any technical requirements for the team

4) Stakeholder Engagement and Community Coordination

  • Engage stakeholders confidently and professionally (e.g., school personnel, community partners, religious organisations) to understand parenting needs and recommend suitable programmes.
  • Coordinate partnership communications and scheduling, ensuring clarity of roles, timelines, and expectations.
  • Maintain stakeholder contact lists, communication logs, and follow-up trackers to support sustained engagement.
QUALIFICATIONS
  • Diploma in Social Science, Business, IT, or other relevant disciplines.
  • Digitally comfortable, service orientated, meticulous, proactive, accountable and able to work under pressure
  • Able to work on weekends and weekday evenings.
  • Fresh Graduates are welcome.
