Role Overview:
The Program Coordinator provides operational and administrative support to ensure the smooth planning and delivery of training programmes. This role works closely with internal teams and clients to coordinate all activities before, during, and after each programme.
Key Responsibilities:
Your duties and responsibilities are as follows:
1. Program Management
- Respond to client inquiries regarding training programs and serve as a point of contact for program-related matters
- Manage administrative processes for funded training programs, including grant applications, claims processing, and documentation
- Manage calendar, timelines, and task tracking to ensure smooth program execution
- Coordinate with clients and internal stakeholders on program confirmation, scheduling, and logistical details (i.e. travel and accommodation bookings)
- Prepare and organize training materials, resources, and logistics ahead of each program
- Liaise with internal departments (Finance, Instructional Design, Trainer Management) to ensure alignment across delivery processes
- Generate post-workshop reports and manage follow-up communications with clients
- Support the team on ongoing projects and contribute to cross-functional collaboration
- Take on ad-hoc projects and additional responsibilities as required
2. Workshop Delivery Support (Onsite &Online)
Onsite workshop support:
- Setup of training venue
- Onsite liaison with venue coordinators and client stakeholders
- Assist trainers, coaches, and facilitators throughout the workshop
- Attendance-taking and preparation of reports for post-workshop
Online workshop support
- Schedule and set up virtual training sessions on platforms such as Webex, Zoom, and Microsoft Teams
- Provide technical support to participants in setting up video and audio prior to and during training sessions
- Assist trainers, coaches, and facilitators throughout live virtual training sessions
- Export attendance and engagement reports from virtual conferencing platforms post-training
- Manage and archive recording footage from training sessions
Requirements:
- Bachelor's Degree in relevant discipline
- Familiarity with IBF and SSG funding framework as well as TPG system is an advantage
- Prior experience in training coordination, events management, or a similar support role is an advantage
- Strong organisational and coordination skills, to manage multiple programs simultaneously
- Excellent communication skills, particularly in a cross-border working environment
- Proactive, detail-oriented, and able to work independently with minimal supervision
- Comfortable working with virtual conferencing tools (Webex, Zoom, etc.)
