Job Summary
Join our team as a Sales/Procurement Executive to manage procurement and sales support activities, ensuring timely purchasing, vendor management, and customer order fulfilment to support business operations effectively.
Responsibilities
Manage end-to-end procurement activities including sourcing, negotiation, and purchasing to meet operational needs
Evaluate local and overseas suppliers products to ensure compliance with specifications and company quality standards
Identify and establish partnerships with reliable vendors and suppliers to secure competitive pricing and quality materials
Implement inventory control measures to reduce stockouts and prevent overstock situations
Conduct regular inventory audits to verify stock accuracy and maintain healthy inventory levels
Prepare detailed reports on procurement activities, costs, and supplier performance for management review
Drive process improvements to enhance procurement efficiency and effectiveness
Ensure all procurement activities comply with company policies, ethical standards, and relevant regulations
Maintain accurate procurement records and documentation for audit and tracking purposes
Monitor purchase order status with suppliers to ensure timely delivery and communicate updates to internal teams
Maintain and develop positive vendor relationships to support ongoing supply chain needs
Inspect received products for accuracy and quality, and provide feedback to suppliers on any issues
Monitor inventory aging and coordinate with warehouse and production teams for product replenishment
Support sales team by preparing quotations and raising sales orders and invoices
Coordinate shipments by liaising with shipping companies to obtain competitive quotes and ensure smooth delivery
Handle customer inquiries via email and phone, providing timely and accurate responses
Prepare required documents and labels to meet customer requirements for export and local orders
Maintain proper filing and documentation of sales and procurement records
Perform ad hoc assignments as required to support team and company objectives
Required competencies and certifications
Competent in MS Office applications to prepare reports and communications
Preferred competencies and qualifications
Familiarity with Quickbooks software to support procurement and sales operations
Strong communication and interpersonal skills to collaborate with vendors, customers, and internal teams
Detail-oriented with the ability to manage multiple tasks and meet tight deadlines
Demonstrates initiative and ability to work independently and collaboratively within a team

Work schedule: Monday to Friday, 5-day work week
