Job summary: We are seeking a versatile Procurement & Logistics Specialist to oversee purchasing, supplier management and logistics in a fast-paced, high-mix low-volume SME manufacturing environment. The ideal candidate can combine cost-effective, strategic sourcing with day-to-day procurement operations, while ensuring cost efficiency, compliance, and smooth business support within project deadlines.
What you'll be doing:
Procurement
Manage day-to-day procurement activities, from purchase requisitions through purchase orders and delivery follow-up
Source, evaluate, and negotiate with suppliers of different countries to secure competitive pricing and reliable service.
Use ERP systems to manage and proceed with procurement workflows
Maintain strong vendor relationships and resolve delivery or quality issues quickly
Track and analyse spending to identify cost-saving opportunities
Identify and manage risks in procurement and logistics (e.g., supplier reliability, geopolitical issues, customs delays)
Build and maintain an Approved Vendor List with performance scorecards
Streamline procurement workflows for efficiency and transparency
Read and process engineering drawings to purchase suitable materials, parts or services for projects.
Discuss and recommend suitable suppliers for new materials, parts or services to Head, Operations.
Support ad-hoc purchasing requests and urgent operational requirements
Logistics
Prepare import/export documentation
Assist in customs clearance if applicable
Liaise with freight forwarders and local authorities to ensure compliance and smooth processing
Collaborate with the production team on smooth delivery of products to customers and company branches
Work with local and overseas suppliers to ensure smooth delivery of items to the company
Business Support
Liaise with Head, Finance & HR for cash-on-delivery (COD) transactions
Maintain organised record keeping and filing system of various order sheets (e.g. purchase orders, job orders etc)
Work with Head, Business Solutions and the Project Management Office on fulfilling project RFQ
Source and gather information on component technical specifications and catalogue for project delivery
Participate in weekly Production Meetings
Ad-hoc duties as assigned
What we are looking for:
Diploma and above qualifications
Candidates with at least 2 years experience in procurement, shipping, and/or administration
Experience in manufacturing operations is an added advantage
Experience with ERP systems (e.g. SAP, Microsoft Dynamic 365) is a plus
Skills
Good command of English.
Familiarity with engineering drawings is an added advantage.
Proficient in MS Office (e.g. Microsoft Excel, Microsoft Word).
Attention to detail with a high degree of accuracy.
Excellent communication and interpersonal skills, with the ability to interact with internal and external stakeholders.
Strong negotiation and vendor management skills.
Ability to work with tight deadlines and adapt to changing priorities.
Ability to manage and organise paperwork.
A team player with a positive attitude and willingness to learn.
Able to work large amounts of data and numbers.
Chinese language abilities is an added advantage.
