Job Summary
Join our team as a Sales/Procurement Executive to manage procurement and sales support activities, ensuring timely purchasing, vendor management, and customer order fulfillment to support business operations effectively.
Responsibilities
- Manage end-to-end procurement activities including sourcing, negotiation, and purchasing to meet operational needs
- Evaluate local and overseas suppliers products to ensure compliance with specifications and company quality standards
- Identify and establish partnerships with reliable vendors and suppliers to secure competitive pricing and quality materials
- Implement inventory control measures to reduce stockouts and prevent overstock situations
- Conduct regular inventory audits to verify stock accuracy and maintain healthy inventory levels
- Prepare detailed reports on procurement activities, costs, and supplier performance for management review
- Drive process improvements to enhance procurement efficiency and effectiveness
- Ensure all procurement activities comply with company policies, ethical standards, and relevant regulations
- Maintain accurate procurement records and documentation for audit and tracking purposes
- Monitor purchase order status with suppliers to ensure timely delivery and communicate updates to internal teams
- Maintain and develop positive vendor relationships to support ongoing supply chain needs
- Inspect received products for accuracy and quality, and provide feedback to suppliers on any issues
- Monitor inventory aging and coordinate with warehouse and production teams for product replenishment
- Support sales team by preparing quotations and raising sales orders and invoices
- Coordinate shipments by liaising with shipping companies to obtain competitive quotes and ensure smooth delivery
- Handle customer inquiries via email and phone, providing timely and accurate responses
- Prepare required documents and labels to meet customer requirements for export and local orders
- Maintain proper filing and documentation of sales and procurement records
- Perform ad hoc assignments as required to support team and company objectives
Required competencies and certifications
- Competent in MS Office applications to prepare reports and communications
Preferred competencies and qualifications
- Familiarity with Quickbooks software to support procurement and sales operations
- Strong communication and interpersonal skills to collaborate with vendors, customers, and internal teams
- Detail-oriented with the ability to manage multiple tasks and meet tight deadlines
- Demonstrates initiative and ability to work independently and collaboratively within a team
