Procurement Admin Officer (2 Years Contract)

Job Summary:

Key Responsibilities:

• Managed end-to-end procurement operations, including RFQs, ITQs, Direct Contracts (DCs), PO reviews, award recommendations, and contract administration processes.

• Monitored procurement governance and compliance through procurement audits, corrective action plans, risk registers, RCSA updates, and supplier risk management initiatives.

• Published procurement performance dashboards and conducted spend analysis to track cost efficiency, operational performance, supplier management, compliance, and procurement KPIs.

• Supported procurement planning by tracking high-value contracts, monitoring expired/open POs, Faster Payment KPIs, and Direct Invoice (non-PO) analysis.

• Administered procurement systems such as GeBIZ, QuickBuy, and Workday, including troubleshooting system, budget, invoice, PO, and Goods Receipt (GR) related issues.

• Developed procurement training materials, user guides, briefing decks, and conducted staff training on procurement policies, best practices, GeBIZ, and Workday processes.

• Provided advisory and operational support to stakeholders on procurement approaches, workflows, supplier matters, account code issues, and payment processing.

• Managed supplier-related initiatives including Supplier Performance Management, Supplier Development Programmes, Supplier Enabled Innovation, and procurement innovation projects.

• Coordinated incident reporting and resolution for procurement system errors and ensured compliance with procurement procedures and governance requirements.

• Supported ad-hoc procurement projects and cross-covered operational responsibilities during team members absence.

Requirements

• Minimum 5 years of relavant experience

• Must be familiar in GeBIZ and Workday
