Job Description

Job Summary

The PMO Assistant supports the Project Management Office by assisting with project coordination, documentation, reporting, and administrative tasks.

This role ensures project information is organized, timelines are monitored, and project governance processes are followed.

Key Responsibilities

1. Project Coordination

  • Assist project managers in planning and tracking project activities.
  • Monitor project schedules, milestones, and deliverables.
  • Help coordinate meetings, workshops, and project updates.
  • Preparing PMO reports.
  • Coordinating communication between stakeholders.

2. Documentation & Reporting

  • Maintain project documentation, templates, and records.
  • Prepare project status reports and dashboards.
  • Track risks, issues, and change requests.

3. Administrative Support

  • Schedule meetings and prepare meeting minutes to share with stakeholders.
  • Manage project files and document repositories.
  • Support project communication across teams.

4. Data Tracking & Analysis

  • Update project tracking tools and databases.
  • Collect and analyze project performance data.
  • Assist with KPI monitoring and reporting.

5. Process Compliance

  • Ensure projects follow PMO standards, methodologies, and governance.
  • Support audits and project reviews.
  • Help maintain PMO policies and templates.

Required Skills & Qualifications

  • Bachelor's degree in Business Administration, Management, Project Management, IT, or related field.
  • Strong organizational and multitasking skills.
  • Good communication and documentation abilities.
  • 1-2 years of experience is required. Fresh graduates are also welcome to apply for this role.
  • Excellent hands-on knowledge in Excel (Macros), PowerPoint, Word and Project.
  • Excellent communication and stakeholder management skills
  • Ability to work in a fast-paced, multi-country environment.
