Job Description

HR Function:

  • Manage HR functions, including payroll processing, leave and attendance records.

  • Lead recruitment activities: job postings, candidate screening, interview scheduling, and onboarding.

  • Maintain employee records in compliance with local regulations and company policies.

  • Coordinate employee engagement activities, training sessions, and performance review processes.

  • Liaise with external vendors, service providers, and government agencies for HR and office matters.

  • Ensure compliance with Singapore employment laws and regulations.

Calendar Management:

  • Schedule meetings, appointments, and events.

  • Coordinate with internal and external stakeholders to ensure availability and logistics.

Email Correspondence:

  • Manage and prioritize incoming emails.

  • Draft responses and follow-up on pending matters.

Document Preparation:

  • Create, format, and proofread documents, presentations, and reports.

  • Compile information and data as needed.

Communication Liaison:

  • Serve as a point of contact between executives and internal/external parties.

  • Relay messages accurately and promptly.

Meeting Support:

  • Prepare agendas, materials, and presentations for meetings.

  • Take minutes and distribute action items as required.

Expense Management:

  • Track and reconcile expense reports.

  • Coordinate with finance department for timely processing.

File Management:

  • Maintain organized electronic and physical filing systems.

  • Ensure confidentiality and security of sensitive information.

Task Prioritization:

  • Assess urgency and importance of tasks, and prioritize accordingly.

  • Anticipate needs and proactively address potential issues.

Special Projects:

  • Assist with ad-hoc projects and initiatives as assigned.

  • Conduct research, gather data, and provide analysis as necessary.

  • Prepare and edit reports, presentations, and various business documents


Requirements

  • Diploma/Degree in Business Administration, HR, or related field.

  • Minimum 5 years experience in office management, HR administration, or executive secretary roles.

  • Strong knowledge of Singapore employment laws and payroll processes.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and HRIS systems.

  • Excellent organizational and multitasking skills with strong attention to detail.

  • Professional communication skills in English (written and spoken).

  • Ability to handle confidential information with discretion.

  • Proactive, resourceful, and able to work independently.
