Our client is the Office of the CEO of a large regional business group with significant interests in fashion, food, and footwear retail. The Group operates an extensive retail network across South-East Asia and is expanding rapidly across the region. To support the CEO and key shareholders in managing a dynamic and fast growing business, the Group is seeking a highly organized and proactive Executive Assistant to join the CEO's Office in Bangkok.
Position: Personal/Executive Assistant
Location: Bangkok/Thailand
Key Responsibilities
Executive & Calendar Management
- Manage the CEO's Office calendar, prioritizing meetings and ensuring effective time management.
- Coordinate domestic and international travel, including flights, accommodation, and itineraries.
- Prepare meeting agendas, briefing notes, and presentation materials.
- Screen calls and manage email correspondence on behalf of the CEO's Office.
Task & Priority Tracking
- Monitor action items, deadlines, and key deliverables across multiple work streams.
- Maintain structured systems to track commitments and follow up with relevant stakeholders.
- Coordinate with internal teams and external partners to ensure timely execution.
Project & Leadership Support
- Work closely with department heads to support implementation of directives from the CEO's Office.
- Assist with preparation for board meetings, investor communications, and strategic discussions.
Vendor & Payment Coordination
- Coordinate with the Finance team to process vendor invoices and payments.
- Verify billing details and resolve discrepancies where required.
- Manage submission of company credit card expenses.
Communication & Confidentiality
- Draft and review key communications, reports, and presentations.
- Maintain strict confidentiality when handling sensitive information.
- Serve as a liaison between the CEO's Office and senior internal and external stakeholders.
Personal & Lifestyle Coordination
- Coordinate medical appointments and wellness services in Bangkok and overseas locations including Singapore and London
- Arrange personal services and household requirements such as meal deliveries and routine supplies.
- Handle ad-hoc administrative and coordination tasks as required.
Candidate Profile
- Diploma or degree from a reputable university.
- 5-10 years experience as an Executive Assistant supporting senior executives, ideally in consulting, investment banking, private equity, or similarly demanding environments.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to anticipate needs, prioritize effectively, and operate with a high degree of independence.
- Excellent analytical, communication, and problem-solving abilities.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) and common productivity tools.
- High level of professionalism, discretion, and adaptability in handling confidential matters.
