The Role

We are hiring a Personal Assistant to provide comprehensive support to the Group CEO. This is a high-trust, high-exposure role at the centre of a fast-growing regional business. You'll manage the CEO's schedule, communications, and administrative operations - ensuring he can focus on strategic priorities while everything behind the scenes runs seamlessly.

Responsibilities

  • Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements across multiple time zones and APAC markets
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO
  • Prepare documents, presentations, reports, and briefing materials for internal and external meetings
  • Coordinate domestic and international travel including flights, accommodation, visas, and itineraries
  • Liaise with internal teams, clients, suppliers, and external stakeholders as a point of contact for the CEO's office
  • Handle confidential and sensitive information with absolute discretion
  • Track action items, deadlines, and follow-ups from meetings to ensure nothing falls through the cracks
  • Support event coordination for trade shows, client visits, and corporate functions
  • Provide general administrative support including filing, data entry, document management, and maintenance of office records
  • Assist with office operations such as ordering supplies, coordinating with building management, and managing vendor relationships
  • Support basic finance administration including processing expense claims, purchase orders, and invoice tracking
  • Manage ad hoc tasks and anticipate needs proactively to ensure smooth day-to-day operations

Requirements

  • Diploma or degree in Business Administration, Secretarial Studies, or related discipline
  • 3 to 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar support role to senior management
  • Exceptional organizational skills with the ability to manage competing priorities and tight deadlines
  • Strong written and verbal communication skills in English
  • Proficiency in an additional Asian language is an advantage, as the role involves coordination with suppliers, partners, and clients across APAC markets where English may not be the primary business language
  • High level of discretion and professionalism when handling confidential matters
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) familiarity with productivity and scheduling tools
  • Resourceful and proactive - able to work independently with minimal supervision
  • Comfortable in a fast-paced, entrepreneurial environment where priorities can shift quickly
