We are seeking a highly capable and proactive Personal Assistant to the Principal to provide high-level executive and personal support in a fast-paced, dynamic environment. This is a critical role requiring excellent judgment, strong communication skills, exceptional organization, and the ability to manage multiple priorities with discretion and professionalism.
Reporting directly to the Principal, you will work in a close one-on-one partnership, serving as the key liaison between the Principal and internal/external stakeholders. You will support daily operations, manage confidential matters, coordinate projects, and ensure smooth execution of schedules, meetings, and events.

Serve as the primary point of contact for all internal and external communications on behalf of the Principal, ensuring professionalism and confidentiality at all times.
Manage the Principal's dynamic calendar, including scheduling meetings, appointments, and travel arrangements with strong attention to detail.
Prepare and coordinate materials for meetings, presentations, and travel-related activities.
Act as a trusted gatekeeper by managing access to the Principal's time, ensuring maximum efficiency and productivity.
Work closely with the Principal to anticipate needs, follow up on action items, track deadlines, and prioritize tasks effectively.
Handle sensitive and confidential matters with discretion, professionalism, and sound judgment.
Coordinate and support the organization of team activities, off-sites, company events, and internal gatherings to foster a positive and collaborative culture.
Provide support for office visitors and guests, ensuring a warm and professional environment.
Assist in coordinating senior management meetings, off-sites, and company-wide staff meetings, including agenda preparation and documentation.
Maintain and manage the Principal's contact lists and key stakeholder database.
Provide support for special projects, ensuring timely execution and measurable results.
Assist in daily studio/office operations, including coordination of events and facility maintenance matters.
Support selected personal tasks related to the Principal's family schedule, including children's schedules, travel planning, home-related coordination, and other personal arrangements as needed.
Contribute to maintaining an efficient, positive, and collaborative working environment across the studio/office.
Diploma or equivalent qualification.
Minimum 3-4 years of experience supporting senior executives in a fast-paced environment.
Strong team player with flexibility and adaptability to changing priorities.
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and familiarity with social media platforms.
Strong organizational and multitasking skills with sharp attention to detail.
Entrepreneurial mindset with the ability to work independently and take initiative.
Excellent interpersonal and communication skills, with the ability to engage effectively with stakeholders at all levels (written and verbal).
Ability to thrive under pressure in a deadline-driven environment while maintaining professionalism and a positive attitude.
