Job Description

Key Responsibilities

Executive & Administrative Support

  • Provide full-spectrum personal and secretarial assistance to the Director, maintaining discretion and confidentiality.
  • Manage calendar, schedule meetings, and coordinate both internal and external appointments.
  • Prepare presentation materials, reports, and business documents across various ongoing projects.
  • Handle correspondence, minutes of meetings, and ensure timely follow-ups on action items.
  • Manage travel arrangements including flights, accommodations, visas, and itineraries.

Project Coordination

  • Liaise with internal teams and partners across Singapore, Malaysia, Vietnam, and regional offices on ongoing projects.
  • Track project milestones and deadlines ensure deliverables are completed in line with business timelines.
  • Support documentation, filing, and administrative processes for joint ventures, proposals, and partnerships.
  • Assist in coordination for events, exhibitions, and investor meetings when required.

Operational & Business Support

  • Manage ad hoc business matters, procurement coordination, and office administration.
  • Liaise with vendors, suppliers, and corporate partners for operational matters.
  • Handle confidential information with the highest degree of professionalism.

Other Duties

  • Support Director in personal errands and lifestyle management when necessary.
  • Perform other administrative and coordination duties as assigned.

Requirements

  • Minimum Diploma with at least 2-3 years experience in a similar capacity supporting senior management.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication skills (spoken and written English Mandarin proficiency a plus).
  • Proficiency in MS Office / Google Workspace tech-savvy and comfortable with digital tools (WhatsApp Business, Trello, Notion, etc.).
  • Ability to handle confidential matters and adapt quickly to changing priorities.
  • Positive attitude, initiative, and ability to work independently with minimal supervision.

Preferred Attributes

  • Experience in supporting cross-border or multi-business operations.
  • Familiar with project coordination, travel management, or investor communication.
  • Able to work flexible hours or travel occasionally with the Director if needed.
