About the role:
We are seeking a seasoned, highly professional Personal Assistant to provide strategic, administrative, and operational support to the Senior Management. This role requires a high degree of business acumen, discretion, and the ability to operate effectively in a fast-paced, high-level corporate environment within the property management sector. The incumbent will serve as a trusted gatekeeper and key liaison, while also supporting bilingual business communication, including translation of complex documents and correspondence.
Key Responsibilities:
- Provide high-level executive and strategic support to Senior Management, ensuring seamless day-to-day operations and effective time management
- Manage and prioritise the Senior Management's complex calendar, including scheduling of meetings, business engagements, and international travel arrangements
- Prepare, review, and consolidate reports, board papers, presentations, and correspondence for internal and external stakeholders
- Perform accurate translation ofbusiness, legal, and technical documents between English and Chinese(Mandarin), ensuring appropriate tone, context, and confidentiality
- Provide interpretation supportduring meetings, negotiations, and discussions where required
- Act as a primary point ofcontact and liaison between the Senior Management and other management,business partners, investors, tenants, and external parties
- Attend meetings alongside theSenior Management where necessary, document key discussions, and ensure timelyfollow-up on action items
- Support the Senior Managementin monitoring strategic initiatives and key projects across the propertyportfolio, including asset enhancement initiatives (AEI), leasing performance,and operational matters
- Exercise sound judgment inscreening, prioritising, and responding to correspondence, calls, and requests
- Coordinate and managehigh-level meetings, corporate functions, and stakeholder engagements
- Handle highly confidential andsensitive information with the utmost professionalism and integrity
- Undertake special projects andad-hoc assignments as entrusted by the Senior Management
Requirements:
Education & Experience
- Bachelor's Degree in Business Administration, Real Estate, or a related discipline
- At least 8-10 years of relevant experience as a Personal Assistant supporting senior leadership or C-suite executives
- Prior experience in property management, real estate, or a related industry will be highly advantageous
Skills & Competencies
- Strong command of English and Chinese (Mandarin), with proven ability to translate and interpret complex business and legal documents
- Exceptional organisational, coordination, and time management skills, with the ability to manage competing priorities under tight timelines
- Excellent written and verbal communication skills, with strong attention to detail
- High level of discretion, professionalism, and integrity in handling confidential matters
- Strong interpersonal and stakeholder management skills, with the ability to interact effectively at senior levels
- Proactive, resourceful, and capable of working independently with minimal supervision
Proficient in Microsoft Office applications(Word, Excel, PowerPoint, Outlook)
