Job Description

We are seeking a highly organized and proactive Personal Assistant to support the Chairman in managing daily activities and international engagements.

This is a fast-paced role that requires frequent international travel (up to 90%) and flexibility to work according to the Chairman's schedule. The successful candidate will help ensure the Chairman's professional and personal commitments are well coordinated and executed smoothly.

You will work closely with a team of Personal Assistants, with responsibilities rotating depending on travel schedules and operational needs.

Due to frequent coordination with Mandarin-speaking stakeholders during business travel in China, proficiency in English and Mandarin (spoken and written) is required.

Key Responsibilities

Executive Support

  • Manage and coordinate the Chairman's daily schedule, including meetings, appointments, and personal engagements.
  • Coordinate meals, transportation, accommodation, and other logistics to ensure smooth day-to-day operations.
  • Act as a liaison between the Chairman and internal or external stakeholders when required.

Travel & Logistics Management

  • Plan and manage international travel itineraries for both business and personal trips.
  • Arrange flights, hotel reservations, transportation, visa applications, and other travel documentation.
  • Monitor travel plans and proactively manage changes, delays, or schedule adjustments.

Overseas Travel Support

  • Accompany the Chairman on international trips when required.
  • Provide on-ground coordination and support during travel, including managing schedule changes, meeting arrangements, and logistics.
  • Ensure travel arrangements remain efficient and well-organized throughout the trip.

Administrative Coordination

  • Maintain organized records of travel plans, schedules, and important documents.
  • Handle confidential information with professionalism and discretion.
  • Coordinate closely with other Personal Assistants to ensure continuity and smooth operational support.to ensure continuity and smooth operational support.

Requirements

  • Minimum 3-5 years of experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior management or executives.
  • Proficiency in English and Mandarin (spoken and written) to support communication with Mandarin-speaking stakeholders and coordination during frequent business travel in China.
  • Comfortable with frequent international travel (up to 90%) and accompanying the Chairman on overseas trips when required.
  • Willingness to work flexible hours,including evenings or weekends, depending on the Chairman's schedule and travel arrangements.
  • Strong organizational and time-management skill with the ability to manage multiple priorities simultaneously.
  • Highly adaptable, proactive, and able to respond effectively to last-minute changes.
  • Professional, discreet, and capable of handling confidential matters.
  • Strong interpersonal and communication skills.
