About the Role
Reporting to the CEO, we are seeking a highly organized, discreet, and proactive Personal Assistant to support a high-profile executive within the business. This role requires someone who is culturally sensitive, fluent in both Mandarin Chinese and English to liaise with both local and overseas stakeholders (mandarin speaking) based in China, and has prior experience managing the complex needs of high-level executives. The ideal candidate will act as a trusted gatekeeper and facilitator, ensuring that the executives day-to-day affairsboth business and personalrun smoothly.
Key Responsibilities
- Manage and maintain an ever-changing calendar, including scheduling meetings, travel, and personal appointments
- Coordinate international and domestic travel, including visas, accommodations, itineraries, and logistics
- Serve as liaison between the executive and internal/external stakeholders
- Handle confidential information with the utmost discretion
- Assist with personal errands, reservations, purchases, and event planning as needed
- Prepare reports, briefings, and documents in English and Mandarin Chinese
- Provide translation and interpretation support during meetings or written communications
- Anticipate the executives needs and proactively manage time and priorities
- Coordinate with household staff, drivers, and vendors as needed
- Support with communications and inbox management
Skills and experience required
- Proven experience as a personal or executive assistant to high-level individuals, ideally in the tech or fast-paced corporate sector
- Fluency in Mandarin Chinese and English (both written and spoken) for coordination with both local and overseas stakeholders (mandarin speaking) based in China, as well as translation work
- Exceptional organizational skills with strong attention to detail
- Discretion and confidentiality are a must
- Ability to work under pressure, manage multiple priorities, and respond flexibly to changing demands
- Proficient in productivity tools (Google Suite, Microsoft Office, communication platforms, etc.)
- Willingness to occasionally travel or work non-standard hours to accommodate the executives schedule
