Role Summary
The Personal Assistant / Administrative Executive providescomprehensive administrative and coordination support to senior management.This role focuses on scheduling, communication, and operational coordination toensure smooth day-to-day business activities.
In addition, the role includes ad-hoc drivingsupport for business-related purposes when required.
Key Responsibilities
Executive & Administrative Support(Primary Scope)
- Manage calendars, schedule meetings, and coordinate appointments
- Handle correspondence, including calls, and document preparation
- Arrange itineraries, and accommodation
- Coordinate internal and external meetings, including logistics and follow-ups
- Maintain records, filing systems, and confidential documents
- Liaise with internal departments and external stakeholders on administrative matters
Office & Operational Coordination
- Support office administration and general operations
- Assist with procurement, vendor coordination, and basic facilities matters
- Track expenses, submit claims, and support basic finance/admin processes
- Ensure smooth coordination of day-to-day business activities
Driving Support (Secondary / Ad-hoc)
- Provide driving support for management when required for business purposes
- Ensure timely and safe transportation to meetings and appointments
- Maintain cleanliness and basic upkeep of the assigned vehicle
- Assist with errands or document collection/delivery as needed
Note: Driving duties are ad-hoc and secondary tothe primary administrative responsibilities of the role.
Requirements
- Diploma or above in Business Administration or related field
- Prior experience in administrative, coordination, or PA roles preferred
- Strong organizational and time management skills
- Good communication and interpersonal skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Possess a valid driving license with a good driving record
Working Arrangement
- Based in office with regular interaction with internal stakeholders
- Working hours aligned with business operations
- Driving duties are assigned based on business needs and are not the primary function of the role
