Personal Assistant / Office Admin - Family Office

Duties:
- Oversee daily office operations to ensure efficiency and smooth workflow
- Ensure compliance with office health, safety, and security regulations
- Develop and implement administrative policies, procedures, and office protocols
- Assist in planning and executing meetings and events
- Provide administrative support to the Manager/Director, including collation of reports and preparation of presentations and documentation
- Manage and coordinate calendars, appointments, travel arrangements and expense reporting for the Chairman
- Take minutes of meetings, track action items and follow up on outstanding tasks
- Handle confidential matters with discretion and professionalism
- Assist with employee onboarding, allocation of office resources and records management
- Process expense claims, office purchases, and vendor coordination
- Liaise with IT support to maintain office systems, databases and security protocols
Required Experience & Skills
- Min Diploma in Business Admin & other related disciplines with 5 yrs & above strong PA to secretarial and office admin skills, preferably from family office background (not a must)
- Excellent organisational skills, with the ability to manage office operations and track work progress
- High level of discretion and professionalism in handling sensitive information
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint)
- Team-oriented and collaborative
- Meticulous, mature, and able to exercise sound judgment
- Able to work independently with minimal supervision
- Capable of multitasking and meeting tight timelines
